Job Description

To set up, operate and maintain mail metering equipment, high speed folding and inserting equipment, sort and process incoming and outgoing Canada Post mail and interdepartmental mail for the City.

Major Responsibilities:

  • Sets up, operates, maintains and makes adjustments as required to various mail processing equipment.

  • Affixes correct postage to envelopes and packages using digital metering machines, while conforming to the rules and regulations of Canada Post in assigning postage amounts.

  • Receives and tracks incoming mail and packages by scanning bar code and ensures prompt delivery to recipient.

  • Processes all outgoing courier requests for City Hall and Metro Hall.

  • Operates courier rate shopping system to determine most cost-effective method for courier mail on a piece-by-piece basis.

  • Assigns corporate account codes for billing inter-departmental charges.

  • Processes outgoing courier items including weighing and ensuring correct paperwork is completed (declarations, waybills, etc.).

  • Scans incoming Canada Post mail and couriered mail through x-ray scanner to determine dangerous or hazardous material and secures any suspected item in mail isolation chambers.

  • Sorts outgoing Canada Post mail by client and destination (i.e., Domestic, U.S. and international) and assigns account codes for billing inter-divisional charges.

  • Places registered mail cards and parcel pick up cards in bins.

  • Looks up Registered mail Records, obtains signature and distributes mail.

  • Maintains records of undelivered mail for special runs.

  • Traces missing information on the envelopes (e.g. mailing addresses) from the City of Toronto intranet site when necessary and redirects to proper destination.

  • Loads Canada Post mail bins in accordance with Canada Post specifications.

  • Delivers and tracks couriered mail and delivers printed materials.

  • Responds to inquiries regarding the operational area/function.

  • Sorts and distributes daily newspapers, scanned mail and courier mail.

  • Operates pump truck to move skids.

  • Occasionally drives courier vehicle to Post Office.

Key Qualifications:

Your application must describe your qualifications as they relate to:

  1. Experience sorting and delivering large quantities of mail in a high-volume mail operation.

  2. Experience working with high-volume digital networked metering equipment.

  3. Experience working with automated insertion equipment, mail folding equipment, x-ray scanners and mail security isolation chambers.

  4. Must possess and be able to maintain a valid “G” Drivers Licence and must qualify for the City Vehicle and Equipment Operators Permit.

You must also have:

  • Knowledge of suspicious mail recognition clues and safe mail handling.Proficiency in the use of Microsoft Office Suite (Word, Excel, and Outlook) and the Internet.

  • Excellent verbal and written communication skills and the ability to communicate effectivelyand professionally with all the levels of staff, elected officials, external agencies and the public, over the phone, in-person and in writing.

  • Well-Developed customer service and interpersonal skills and ability to work effectively with others as a part of a team as a well as independently under minimum supervision.

  • Good analytical skills, problem-solving skills and attention to detail.

  • Strong organizational skills and multi-tasking skills and the ability to meet tight deadlines under time constraints, in a fast-paced environment.

  • Fundamental mathematical skills with the ability to make computations and calculations accurately.

  • Ability to life materials and boxes weighing up to 30lb.

  • Knowledge of Canada Post Legislation, regulations and standards.

  • Ability to work at various central mailroom locations as necessary.

  • Ability to work flexible and/or varied hours of work.

  • Ability to operate computers and equipment, and utilize a variety of software packages, including Mail Management Systems.

  • Ability to use City of Toronto internal staff directory to direct and redirect mail to the appropriate work location.

  • Ability to operate a pump truck to move skids.

  • Must be able to deliver mail to the Canada Post depot at the end of shift, as required.

  • Must be familiar with the Occupational Health and Safety Act and the regulations that apply to this work.
